There's a lot to keep on top of when managing pupil healthcare. From tracking lunchtime doses in the school office to checking expiry dates on spare adrenaline auto-injectors and keeping emergency care plans up to date, it's a big responsibility. For many schools, it also means juggling paper forms, those huge lever-arch binders and separate spreadsheets.
iAM Medical removes that hassle and brings your data together in an easy-to-use system. Designed specifically for UK schools and multi-academy trusts, it lets you manage pupil medical records and medication administration in the same platform as your school compliance. Even better, it's included at no extra cost for all iAM Compliant Advanced customers with an active Wonde connection.
Let's take a closer look at what iAM Medical does, how it works in practice, and answer some of the questions schools asked during our launch sessions.
What Does iAM Medical Actually Do?
iAM Medical keeps healthcare information for your school or trust together in one secure place. You'll find it under the Incidents menu in iAM Compliant, bringing day-to-day medical administration into the same platform as your wider compliance and safeguarding records.
Here are the four key areas it covers:

1. The Medical Register and Digital Health Profiles
Through its connection to your Management Information System (MIS) via Wonde, iAM Medical automatically creates a Digital Health Profile for every pupil and staff member.
Pupil photographs, core details, and emergency contacts sync straight across. With everyone on the register from day one, you can quickly record sudden injuries, temporary plaster casts or short courses of prescribed antibiotics.
2. Daily Medication Schedules and Safety Logs
In a busy school, staff need to know which medication is due, what's already been given and why a dose was skipped. iAM Medical provides:
- A Daily Medication Index and Calendar: See scheduled doses and ad hoc treatments across your school in a clear daily view, or use the calendar to plan ahead.
- Overdue Alerts: Clear warnings highlight scheduled doses that have passed their set time, helping staff spot when a dose needs attention.
- Skipped Dose Tracking: If a pupil is absent, on an educational visit, or unwell, staff can record a skipped dose. A reason code is required, so there's a clear record of why it wasn't given.
- Checks to Help Prevent Duplicate Doses: Live update checks help prevent accidental duplicate doses when several staff members share medical room duties.
3. General-Use and Emergency Medication Stock
Alongside pupil-specific prescriptions, schools may also keep spare adrenaline auto-injectors (AAIs) and emergency asthma inhalers. iAM Medical lets you log and monitor this school-held stock without linking it to a specific pupil profile, so you can see where items are kept and when they expire.
4. Expiry Reminders and School and Trust Dashboards
Care plan reviews and medication expiry dates are easy to lose track of when there's so much else going on. iAM Medical alerts your team well ahead of time when care documents or medicines are approaching their expiry dates, giving you time to replace them.
For trust leaders and headteachers, the Medical Dashboard brings valid documentation and unexpired medication together into a single compliance score for each school site. You can spot gaps early, see where schools need help and keep track of standards across your trust.
Your Questions Answered: How iAM Medical Works Day to Day
During our recent walkthrough sessions, school business professionals, safeguarding leads, and trust leaders asked some great questions about using iAM Medical in their schools. Here are the answers to help you see how it could work in yours.
How is this different from buying a separate medical tracking system?
Buying a separate medical tracking system can mean another contract to manage, another set of staff login details, and another place to store school data.
We wanted to make things simpler. iAM Medical is built into iAM Compliant and included in the Advanced package at no extra cost. It sits alongside your estates compliance, incident tracking and risk assessments, keeping more of your school's day-to-day work in one place.
You can also pair it with the Incidents Collection in iAM Academy to help staff build their confidence in recording incidents, first aid and emergency response.
Will we need to enter every pupil and condition by hand?
No. Supported data from your MIS syncs automatically through our Wonde integration. Core details, photos, known medical conditions, and emergency contacts come straight through into iAM Medical, saving your team from entering them again.
Where details or instructions aren't stored in your MIS, staff can add conditions, treatment steps, and emergency instructions directly in iAM Medical. There are also plenty of optional fields, so your team can record the detail they need.
Does information entered in iAM Medical sync back to our MIS?
No. The Wonde integration is a secure, one-way sync into iAM Compliant. MIS platforms don't currently allow this specific medical information to be sent back through Wonde, so any extra details you add in iAM Medical stay securely within iAM Compliant.
Can parents receive email updates when medication is given?
Yes. Authorised staff can choose to send an immediate, customisable email to a pupil's primary contact or next of kin when scheduled or ad hoc medication is given. This lets parents know when their child has received a dose, giving them useful information ahead of any medication due at home.
Please note, automated emails for skipped doses or upcoming expiry dates aren't included in this release.
Can two members of staff sign off when administering medication?
Yes. We know that many schools request two members of staff (one being a witness) to sign off when administering medication, particularly controlled drugs. iAM Medical includes witness sign-off, so your team can record directly in the system.
How can we manage Individual Healthcare Plans (IHCPs) in iAM Medical?
You can upload signed, completed IHCPs, EHCPs and hospital letters directly into each pupil's document vault, keeping them together and easy to find. Add renewal dates to help your team keep track of annual reviews.
Plans are created and signed outside iAM Medical, then uploaded once they're ready.
Who can access sensitive medical records?
Health information is classed as special category data under UK GDPR, so access is carefully controlled according to each user's role and school site permissions.
Staff can only view pupil medical records for the school sites they're authorised to access. Staff medical profiles are kept separately and can only be viewed by designated Admin users.
