10 Compliance Secrets Every School Leader Needs to Know

Written by Andy Ball | 23 Jul 2026

Managing compliance across a modern school or multi-academy trust is a high-stakes challenge. Between evolving Department for Education standards, unexpected health and safety audits, and tightening budgets, school leaders are being asked to do more with less.

We recently hosted a live webinar featuring Andy Ball, one of our co-founders, who shared ten crucial insights to help education leaders transform their daily operations.

A former School Site Manager with over 15 years of UK education experience, Andy specialises in simplifying technical compliance areas such as asbestos and legionella, reclaiming valuable administrative time for school site teams.

Here’s Andy’s countdown of the top ten features and strategic approaches that will help you centralise, simplify, and master compliance across your estate.

10. Centralised Help Desk Groups

When schools manage maintenance requests through scattered emails, sticky notes, or verbal chats, things inevitably get missed. When different departments or schools work in isolation, details easily slip through the cracks, increasing safety risks.

A simple, centralised help desk allows you to group and route incoming tasks automatically to the right people, such as IT support, electrical contractors, or site teams. This gives you complete transparency. You can see exactly how quickly issues are being resolved across your entire estate, ensuring minor maintenance problems are sorted out before they turn into expensive, disruptive emergencies.

9. Live Status Metrics

Trust leaders often spend hours, or even days, manually chasing and consolidating paper records and spreadsheets from different sites before a board meeting. It’s a huge administrative headache and makes it too easy for errors to slip in.

By moving your tracking to a single digital space, your compliance status is updated in real time. School business managers and trust executives can view automated reports that show exactly what’s complete, what’s pending, and where the risks lie. This gives trustees instant peace of mind and the clear information they need to make quick, sensible decisions.

8. Customisable Task Frequencies

A rigid compliance schedule that treats every school exactly the same simply does not work in busy education environments. Every school building is unique, and local factors dictate different operational needs.

Rather than forcing teams to stick to standard schedules, modern compliance tools allow you to customise task frequencies to match your site's exact needs. This flexibility stops compliance from becoming a paper-chasing, tick-box exercise, allowing your site staff to build a sustainable, manageable routine.

7. Intelligent Holiday and Weekend Filtering

If a school building is completely empty for six weeks over the summer holidays, there’s absolutely no reason for a site manager to come off the beach just to test emergency lighting: it’s a pointless exercise.

A smart compliance system automatically filters schedules to avoid weekends, bank holidays, and term breaks. This keeps your compliance data accurate while actively protecting your team’s well-deserved downtime. If nobody is on the premises, you can safely schedule the system to pause checks and resume them when the school gates reopen.

6. Strict Fixed-Date Locking

While flexibility is vital for general tasks, some high-stakes statutory duties must be completed on precise calendar dates to remain legally valid. Missing these deadlines can leave your organisation exposed to failed audits or legal issues.

By using fixed-date parameters for critical actions, leaders can lock in specific days for essential contractor visits or regulatory inspections. This guarantees that your most critical compliance deadlines are flagged, planned, and completed on time, every time, without exception.

5. Custom Roles (and the "Auditor" Email Trick)

Managing user access as a trust grows can be difficult. You want your caretakers, teachers, and business managers to interact with the system, but you must restrict who can edit or delete statutory documents.

Setting up custom user roles allows you to define exactly what different members of staff can see and do. During the webinar, Andy shared a clever shortcut for testing what a specific user, like an external Health and Safety Auditor, will see when they log on:

  • The Email Plus Shortcut: When setting up a test user in your system, enter your normal email address but add a plus sign and a keyword before the symbol, such as yourname+auditor@school.co.uk.
  • Platform Recognition: The system treats this as a completely separate account, allowing you to assign it a restricted role, like a read-only auditor view.
  • Standard Email Delivery: Because of standard email protocols, any invitation or verification emails sent to that modified address will still drop straight into your normal, everyday email inbox.
  • Checking Side-by-Side: You can then open two different web browsers simultaneously: Google Chrome for your administrative view, and Safari for the test account. This allows you to verify side-by-side that your external inspectors only have access to the exact documents they need to see, keeping confidential school data secure.
4. Asset End-of-Life Tracking for Proactive Budgeting

With the Department for Education placing a heavy focus on the School Estate Management Standards (SEMS), asset tracking has become the foundation of strategic estate planning.

Instead of waiting for a boiler to burst or emergency lighting batteries to fail (which is incredibly expensive and disruptive), you can digitally track the life expectancy of all assets. By logging the original installation dates, purchase costs, and estimated lifespans of your equipment, you can filter your register to highlight equipment that needs replacement. This enables you to forecast expenses years in advance and build robust capital bids rather than firefighting sudden emergencies.

3. Dynamic Custom Form Builders

Many school site managers have local paper checklists they’ve used for years and are hesitant to abandon. However, loose paperwork is easy to lose and impossible to audit remotely.

The solution is to digitise these processes using custom form builders. You can easily replicate your existing checklists electronically and map them to specific zones or equipment. By adding interactive fields, including yes-or-no buttons, dropdown choices, and mandatory instruction blocks (such as a reminder to wear safety goggles), you can ensure that caretakers follow exact procedures before submitting their answers on a phone or tablet.

2. Transparent User Activity Auditing

Compliance is only as good as the people running it. As a leader, you need a straightforward way to see if staff are actually logging in and keeping on top of their checks.

Digital user logs make it easy to audit team engagement. By reviewing or exporting simple spreadsheets of user activity, you can see exactly when accounts were created, when individuals last logged in, and how often they are interacting with their tasks. This transparency allows you to identify where staff might need a little extra guidance or support before compliance levels begin to drop.

1. Legislation-Linked "How-To" Guides

In most schools, the person tasked with checking a fire door, testing water temperatures, or purging a chlorifier is not a fully qualified compliance specialist. They’re often site managers or caretakers who’ve had to learn on the job.

One way schools are putting this into practice is by using a dedicated estates and compliance platform.

iAM Compliant includes a library of built-in how-to guides, linked directly to scheduled tasks. They translate complex legal requirements into plain English, with step-by-step videos and links to the relevant government guidance, helping site teams carry out statutory tasks safely and correctly.
