The pupils may have gone home, but for school operations and site teams, the summer holidays don’t mean everything stops. Empty corridors give you a chance to clear backlogs, update records and get ahead before September rolls around again.
In a recent webinar, Schools Mentor Laura Callingham led a practical discussion on taking the friction out of summer prep. Drawing on years of hands-on experience managing school sites and multi-academy trusts, Laura shared her "Summer 7" practical tips to help you tidy up your processes, support your staff, and head into September feeling calm, organised, and in control.
Here’s how you can put those seven practical wins into action this summer.
1. Tidy Your Staff Records ("Out with the Old, In with the New")
Summer is a good time to review your workforce records and make sure your site and training software reflect who’s actually on the team.
- Offboard departed staff promptly: Archive records for colleagues who have moved on so your data remains secure and up to date.
- Welcome new joiners early: Send new starters their logins in advance with a quick note explaining what to expect, helping them feel supported before their first official day.
- Prompt an early password reset: Encourage returning staff to test their login credentials before term begins. A quick reminder email in August prevents first-week support bottlenecks and keeps everyone moving smoothly on day one.
2. Streamline Your Staff Inductions
Managing onboarding paperwork individually for each new team member can quickly become a time-consuming administrative chore. Grouping key documents together saves time and ensures nothing gets missed.
- Create role-specific document bundles: Instead of sending out individual policies or risk assessments, group essential induction reading into single, role-specific collections (such as teaching staff, kitchen teams, or site assistants).
- Build structured training pathways: Combine core compliance modules into clear pathways so new team members can complete their required learning step by step.
- Let automated reminders do the heavy lifting: Set reasonable deadlines (for example, the end of September) and allow automated reminder workflows to keep track of completion rates for you.
3. Clear Out the Help Desk and One-Off Tasks
Busy term times often leave site teams with a backlog of minor requests. With classrooms and corridors quieter, summer is a much easier time to tackle outstanding site jobs.
- Clear down outstanding tickets: Walk through open maintenance requests with your site team and resolve leftover tasks while spaces are unoccupied.
- Archive outdated requests: Remove old or duplicate tickets to keep your work lists clean.
- Start September with a clean slate: Resolving minor jobs over summer gives your facilities team a fresh, manageable starting point for the new term.
4. Tidy Planned Maintenance and Manage Paperwork Delays
Summer is the peak season for contractor visits and statutory servicing. Keeping your maintenance records organised ensures you maintain clear visibility over site safety without losing sight of your overall compliance position.
- Distinguish servicing from paperwork: If a contractor has completed a physical check (such as fire alarm servicing) but the certificate is pending, log the physical task as complete and set a remedial reminder to chase the paperwork. This keeps your active compliance score accurate while ensuring documentation is not forgotten.
- Aim for realistic targets: Perfect compliance scores are great, but aiming for around 95% over summer accounts for pending contractor certificates or planned remedial works.
- Schedule summer-specific checks: Log seasonal maintenance tasks well in advance so site staff and keyholders know exactly who is visiting and when.
5. Spread Policy and Risk Assessment Reviews Across the Year
Reviewing dozens of policies all at once over the summer break can feel overwhelming and turn a vital safety check into a tick-box exercise.
- Stagger review dates: Spread policy and risk assessment reviews evenly across the entire academic year so each document gets undivided attention.
- Assign clear document owners: Ensure every policy and risk assessment has a designated owner who receives automatic prompts ahead of upcoming review dates.
- Use group sharing: Assign policies to specific user groups so updated documents are distributed seamlessly when term begins.
6. Log Summer One-Offs and Carry Out Perimeter Checks
Certain maintenance jobs only happen when pupils and staff are off site for extended periods.
- Log seasonal tasks: Schedule one-off holiday maintenance, such as water outlet flushing, deep cleaning schedules, and keycode updates, directly into your task manager.
- Conduct detailed perimeter checks: School grounds can be more vulnerable during long holidays. Schedule a thorough site boundary check toward the end of August to inspect lighting, fencing, gates, and security systems.
- Protect seasonal assets: If your site has seasonal facilities like an outdoor swimming pool, keep them filled over summer to prevent structural damage from hydrostatic ground pressure.
7. Prepare for New Guidance Without the Panic
Department for Education (DfE) updates and statutory guidance often arrive late in the summer term. Having a calm, structured approach keeps updates manageable.
- Stay informed on updates: Check for updates to Keeping Children Safe in Education (KCSIE), School Estate Management Standards (SEMS), and new requirements being introduced under Benedict's Law.
- Break changes into manageable steps: Rather than attempting major operational changes overnight, review new requirements, identify any gaps, and create a realistic term-time action plan.
- Build internal confidence: Focus on providing your team with bite-sized training and clear guidance so everyone understands their role in keeping the site safe.
